Where will everyone be standing?

Rooms do not fail in the middle. They fail at the joins — the door, the coat rail, the bar queue, the buffet line, and the moment everybody wants to leave at the same time.

Every one of those is arithmetic, and every one of them is normally left out of a venue conversation until the night itself.

Rooms fail at the joins. Arrival, coats, the walk between one part of the evening and the next, the bar queue and the way everyone leaves at once are all arithmetic — and all of it is normally left out of a venue conversation until the night itself.

The longest single queue at 120 guests is plated service, three courses at about 65 minutes. Arrival to seated runs roughly 15 minutes before anything on the schedule starts.

This is a planning path for 120 guests using a plated service assumption. It does not assert that the venue provides prep, holding, pass, handwash, waste or staff routes.

  1. Arrival through the door

    120 guests through 1 staffed position at 8 seconds each.

    Ask Ask how many doors are actually open and staffed on the night, and whether the second one is an exit only.

  2. First drink in every hand

    2 bartenders at 30 seconds a drink. The conventional provision is one per 75 guests.

    Ask Ask how many bartenders are included at 120 guests, and what a second bar costs.

  3. Plated service, three courses

    About an hour to 100 covers, then a further minute per additional six. Kitchen distance from the room adds to this and is rarely stated.

  4. Everyone leaving at once

    120 guests leaving at about 30 a minute — goodbyes, coats and the walk to the door, not an evacuation. The assembly flow rate through the doorways themselves is far higher, around one guest a second per 22 in of clear width, and it is never what governs. Rural sites and single-lane drives fail at the kerb, not at the door.

    Ask Ask what the drive holds at once, and whether the last coach or car can turn without reversing.

What this headcount demands

  • Restroom fixtures: About 3 fixtures total — roughly 2 per side.

    One fixture per 40 guests is the conventional allowance for a private event with a bar running all evening. The plumbing-code assembly minimum is nearer one per 75, which is a building at design occupancy rather than 120 people who all arrived together.

    Ask Ask for the fixture count in the restrooms guests will actually use, not the count for the whole building.

  • Exits from the room: At least two, remote from each other

    Assembly occupancies over 49 need two independent exits; over 500 needs three. Both must remain unobstructed by the layout.

    Ask Ask which doors count as exits during your event, and confirm none of them is where the band or catering sets up.

  • Service staff on the floor: About 8 servers for plated service

    One server per sixteen covers is the conventional plated ratio; one per two tables where service is synchronised.

    Ask Ask how many of those are included in the hire and how many are billed on top.

  • Vehicles arriving: Roughly 55 cars if guests drive, plus vendor vehicles.

    2.2 guests per car is the usual private-event figure. Vendors add four to eight vehicles that stay all day.

    Ask Ask for the number of spaces held for your event, and where vendor vehicles sit once unloaded.

Every figure here is computed from your headcount at conventional service rates. None of it describes what this venue will actually do — it describes what the count demands, so the gap can be put to them in writing.

Planning arithmetic on the numbers you supplied, using ordinary service rates — about eight seconds a guest through a staffed door, and two bartenders a bar. A venue confirms how many doors are actually open and staffed on the night, and whether the second one is an exit only.
