Needs written answers
One thing has to be settled in writing before this room works: headcount exceeds the venue's posted headline.
Beyond that, 18 questions are still open on this record.

What stands in the way
These are the items on this record that conflict with the evening you described. Each one has the question that would settle it — ask for the answer in writing before you book or pay a deposit.
- Red flag 1: Red flag01
Headcount exceeds the venue's posted headline
120 guests against a posted headline of 70. A posted headline is the most generous reading a venue publishes — often a whole-property total — and your headcount is already above it.
Ask Ask for a stamped or drawn layout at your headcount, for the room you would actually hire.
What would have to change
The room is too small for your guest count at this format.
None of this is a judgment on the venue. It is a statement about the record as it stands today — most of these are one phone call away from being answered, and the answers would change the reading.
What is known
Everything below comes from a source I can show you, with the date I read it. Most of it is what the venue says about itself, so treat it as a starting point and confirm what matters in writing.

Questions to ask before you book
Ask for the answers in writing. A friendly yes on the phone rarely survives a change of staff, and these are the things that usually come up after a deposit is paid.

Walk in operating order
Do not tour the venue as a sequence of attractive rooms. Walk the event: arrival, access, exact layout, peak service, production, fallback and commercial close. The questions below are the unresolved parts of this record placed into that order.
Four things to leave with
- Measure geometry that changes the plan.
- Photograph routes, thresholds and technical positions.
- Obtain the current document or itemized quote.
- Name the owner and deadline for every open answer.
01 Arrival & access
The event starts before the room and accessibility is a continuous chain, not an entrance feature.
- Arrival & access question 1. Ask for a drawn layout at your exact headcount, with service aisles and egress paths shown.
Capture Photograph the route from set-down to the room and restroom. Measure any narrow, steep or ambiguous point and name every level change.
02 Room & layout
A published maximum is not proof that the event objects and people fit together.
- Room & layout question 1. Ask for a stamped or drawn layout at your headcount, for the room you would actually hire.
- Room & layout question 2. Ask the venue to confirm 70 against your exact date, layout and service style, in writing.
- Room & layout question 3. Ask the venue to restate "tent" in writing against your exact date and headcount.
Capture Get the room drawing, then mark doors, columns, fixed objects, stage, bars, dance floor, service lanes and egress on the exact event layout.
04 Production & load-in
A room that says it has AV or power may still be unable to carry the actual show file or supplier path.
- Production & load-in question 1. Ask for the distribution board rating, the position of outlets, and whether any point is rated for rigging.
- Production & load-in question 2. Ask for the amplified-sound cutoff in writing, and who enforces it on the night.
Capture Photograph the load path and technical positions. Obtain current power, rigging, network and house-AV specifications and identify the technical owner.
05 Fallback & operating limits
Weather and stop rules become expensive when they appear after design, entertainment or vendor commitments.
- Fallback & operating limits question 1. Ask what the wet-weather plan seats, who calls it, and by what hour the call must be made.
Capture Write the trigger, decision owner and deadline for every contingency or restriction. Get the applicable policy or contract clause, not a verbal summary.

This page helps you prepare. It does not check availability, quote a price or confirm that a venue meets any legal requirement, so confirm the details with the venue before you pay anything.
